PURPOSE: The ideal candidate will display a passion for the events industry and have a strong track record in sales with a solid background in Pro-active Sales and Account Management.  They will be proactive, hardworking and able to work under their own initiative. With a strong commercial mind, they must be able to identify opportunities for revenue growth and then strategically plan to deliver on these opportunities.

ASSISTANT RESTAURANT MANAGER


REPORTS TO:
RESTAURANT MANAGER

DEPARTMENT: RESERVATIONS DEPARTMENT

 

PURPOSE: To ensure the smooth operation of the hotel restaurant for breakfast, lunch and dinner service. To be responsible for sales, organisation of services and facilities offered to the customer in the F&B areas of the hotel. Also responsible for the performance and development of the restaurant team.

 

OPERATIONAL RESONSIBILITIES:

- In this role you will ensure the smooth operation of the hotel restaurant for breakfast, lunch and dinner service
- The candidate will be responsible for sales, organisation of services and facilities offered to the customer in the F&B areas of the hotel
- You will be in responsible for the performance and development of the restaurant team
- Previous experience in leading a team in a restaurant environment

R.R.C (RAPID RESPONSE CENTRE) TEAM LEADER

 

REPORTS TO: R.R.C MANAGER

DEPARTMENT: R.R.C DEPARTMENT

 

PURPOSE: To be customer service oriented, dedicated, professional, and efficient to supervise the Runners and Agents in order to ensure all guests requests, including deliverables, rooms’ service orders and problem resolution are properly dealt with.

 

OPERATIONAL RESONSIBILITIES:

- Operate telephone switchboard station in order to answer telephone calls externally and internally.
- Process guest requests for wake up calls, screening calls, and other requests related to placing or receiving telephone calls.
- Answer, record, and process all guest calls, requests, questions, complaints or concerns.
- Receive record and relay messages accurately, completely and legibly.
- Log all guest requests or issues into Guest ware, contact appropriate individual or department (e.g. Runner, Shift Engineer) and follow up with guest to ensure their request has been met to their satisfaction.
- Coordinate tasks and work with other departments to ensure that the department runs efficiently.
- Assign and ensure work tasks are completed on time and that they meet appropriate quality standards.
- Partner with and assist others to promote an environment of teamwork and achieve common goals.

R.R.C (RAPID RESPONSE CENTRE) RUNNER


REPORTS TO:
R.R.C TEAM LEADER

DEPARTMENT: R.R.C DEPARTMENT

 

PURPOSE: To be customer service oriented, dedicated, professional, fast and efficient to ensure all guests requests, including deliverables, rooms’ service orders and problem resolution are properly dealt with.

 

OPERATIONAL RESONSIBILITIES:

- Place requested items such as rollaway beds and refrigerators in guest rooms.
- Deliver extra towels, bathrobes, and other items to guest rooms. Provide complimentary toiletries to guests, such as toothpaste, razors and shampoo.
- Deliver items (e.g., food delivery, messages, amenities, mail, faxes, packages, flowers, sundry items, gift items) to guest rooms.
- Deliver rollaway beds, cribs, linens, toiletries, and other items requested by guests to guest rooms.
- Address guests’ service needs in a professional, positive, and timely manner.
- Take inventory of Rapid Response Centre’s stock items when on shift, report stock levels and give logs to Team Leaders.
- Carry out requisition orders in order to maintain par stock levels as approved by Team Leaders.

REVENUE MANAGER

 

REPORTS TO: DIRECTOR OF SALES

DEPARTMENT: RESERVATIONS DEPARTMENT

 

PURPOSE: To work strategically and tactically to gain market share and support the senior management team in achieving business goals and objectives. The Revenue Manager will develop and implement effective inventory control and pricing strategies based upon demand and competitor activity whilst monitoring and managing all distribution channels to ensure rate parity and competitive pricing. In a hands-on capacity the Revenue Manager will support and advise the sales and operational managers in addition to providing analysis and recommendations to the senior management team.

 

OPERATIONAL RESONSIBILITIES:

- To ensure maximum occupancy and average room rate is achieved at all times by efficient yield management and up selling of the hotel facilities and company products.
- To be responsible for the accurate processing of all advance reservations, including group and individual bookings.
- To ensure all enquiries are dealt with in a prompt and professional manner in accordance with company standards.
- To be fully conversant with group and individual reservation procedures.
- To be fully aware of all rates and promotions and to communicate them to all relevant members of staff.
- To deal with all internal and external customers in a professional manner to ensure complete satisfaction at all times, and to ensure that the correct administrative systems are in place to ensure efficiency.
-To ensure that customer relations are developed and maintained to the highest standard and that all telephones are answered promptly and correctly.
- To ensure all incoming correspondence is actioned promptly and correctly, and any request responded to courteously.
- To maintain an accurate and logical filing system for correspondence relating to bookings and enquiries.
- To have an accurate working knowledge of the hotel bedrooms and public areas in order to show current and potential clients the hotel and facilities.
- To be aware of our top ten corporate accounts and all other VIP guests, allocating rooms accordingly.
- To constantly monitor availability and be thoroughly aware of historical and seasonal trends and major events which may affect it.
- To ensure that rooms are sold to the correct market segment, depending on availability, in order to maximize occupancy and average room rate so as to achieve budgeted targets.
- To ensure all rates are correctly loaded in Protel.
- To ensure all allocation is loaded correctly and bookings made accordingly.
- To ensure all arrivals lists are thoroughly checked prior to the day of arrival, to ensure accuracy of detail and the correct allocation of room typess
- To ensure the effective communication of all guest requirements to all the other relevant hotel departments.
- To check daily arrivals for unconfirmed bookings ensuring they are released in accordance with hotel policy and to manage the possibility of out-booking in liaison with the Front Office Manager
- To manage the chasing and charging of any cancellation or no-show charges.
- To handle all group enquiries and quote appropriate rates. To operate a chase system for unconfirmed groups, to ensure that all confirmed groups are contracted.
- To enter accurate rooming lists and accounting instructions and ensure that any special requests are followed up.
- To produce a weekly group forecast to be distributed to all relevant departments.
- To ensure that all potential sales leads are passed to the Sales department.
- To strictly observe all credit procedures in liaison with the credit controller.
- To introduce and document any relevant procedures in conjunction with the House Manager

GROUPS RESERVATIONS MANAGER


REPORTS TO:
REVENUE MANAGER

PURPOSE: To sell the Hotel facilities and company products in order to achieve the highest room profitability with regard to occupancy and average rate and to give the highest possible standards of guest care and service.

 

OPERATIONAL RESONSIBILITIES:

- To deliver consistently high levels of excellence to ensure complete satisfaction of both internal and external customers.
- Actively managing and maintaining our leisure and corporate accounts.
- Cultivating and expanding our working relationships with new and existing partners
- Carry out Market Research and Business trend analysis
- Developing new Group Sales strategies.
- Knowledgeable on all aspects from quoting to contracting
- Ensuring that all details are compiled and checked before the group arrives at the hotel
- To have a thorough working knowledge of all computer and manual procedures, and to be fully aware of all booking restrictions and adhere to them on daily and future basis.
- To have a thorough knowledge of all Hotel and Company products and promotions and every effort is made to sell them.
- To maintain an accurate and logical filing system for correspondence and information relating to bookings and enquiries.
- To check through arrivals two weeks prior to groups arrival.
- To always “sell from the top” to achieve maximum revenue.
- To ensure guests are aware of company guarantee/cancellation policy.
- To convert enquiries into reservations.
- To ensure that all special requests are passed to the appropriate departments and confirmed in writing to guests.
- To ensure that any requests for accounts to company are in accordance with the Hotel credit policy and that any queries are passed to the accounts department.
- To perform any other related duties or special tasks as requested by Senior Management.

FLOOR SUPERVISOR

REPORTS TO: HEAD HOUSEKEEPER

DEPARTMENT: HOUSEKEEPING DEPARTMENT

 

PURPOSE: To supervise room attendants to deliver an excellent guest experience while monitoring cleaning standards and assisting the Head Housekeeper in achieving the housekeeping targets.

 

OPERATIONAL RESONSIBILITIES:

- Supervise Room Attendants- Daily allocation of rooms and spring cleaning tasks to team members
- Manage guest requests, including VIP amenities and communicating them to the relevant team members
- Routine inspection of guest bedrooms to ensure they meet standards
- Aware of all room categories and amenities
- Achieve positive outcomes from guest queries in a timely and efficient manner
- Carry out lost property procedures
- Ensure guest laundry is cleaned and delivered in a timely manner
- Report maintenance issues to Maintenance Department
- Assist Head Housekeeper with training requirements
- Represent the needs of the team to others in the hotel
- Be environmentally aware
- Comply with hotel security, fire regulations and all health and safety legislation
- Assist other departments whenever necessary and maintain good working relationships
